Almost every dice order that goes wrong shares the same origin story: somebody skipped, rushed or misread the sample stage. A sample is the cheapest die you will ever buy, and it exists to absorb every mistake before that mistake gets multiplied by a thousand sets. After nine years of making polyhedral DND dice for buyers around the world, we've watched samples save campaigns — and watched their absence sink a few. This guide explains how sampling actually works at a dice factory: what to order, how long it takes, what it costs, and precisely what to check when the parcel lands on your desk.
What a sample can — and can't — tell you
A physical sample answers the questions no render or product photo can. Does the material feel premium at this size? Are the numerals crisp at reading distance? Does the plating colour match your brand palette in daylight, not just under studio lights? Does the sharp edge actually feel sharp, and does the weight land the way your customers expect? These are sensory judgements, and they can only be made with the object in your hand.
Just as important is what a sample cannot tell you. One perfect die does not prove that die number 4,873 will be perfect too — that's the job of in-line quality control and pre-shipment inspection, which is a separate discipline. A sample also can't show you how a colour behaves across an entire batch of hand-poured resin, where slight swirl variation is inherent to the craft. Understanding this boundary keeps expectations honest on both sides: the sample locks in the standard, and the QC process holds production to it.

Three kinds of samples, three jobs
Buyers often talk about "the sample" as if it were one thing. In practice there are three distinct routes, and choosing the right one saves weeks.
The stock-design sample is a set pulled from designs we already tool and pour — metal, sharp edge, rounded resin, acrylic, silicone, wood or gemstone. Its job is to answer one question fast: is this factory's quality good enough for my brand? It ships within a week, and the cost is refunded on your first order, so it functions as a deposit rather than an expense.
The light-customisation sample adds your identity to a proven stock mold — your colourway, plus a logo laser-engraved with no tooling fee. This is the route most new brands take, because production minimums start at just 10 sets and there is no mold to wait for. The sample proves your colours and logo placement before even that modest commitment.
The full-custom pre-production sample comes off your own new steel mold. It is the first physical object ever made from your design, and its job is final verification: geometry, font, face layout, finish and feel, exactly as production will make them. Approving this sample is the green light for mass production.
Timelines and what samples really cost
Sampling timelines depend entirely on whether tooling already exists. Stock and light-custom samples move fast because the molds are on the shelf. A full custom design needs its steel mold cut first — 20 to 25 days of machining — after which the sample itself takes only 3 to 5 days. Express couriers (DHL, FedEx or UPS) then deliver worldwide in 3 to 7 days, so even a fully custom sampling loop fits inside a typical crowdfunding preparation window.
On cost, the fairest way to think about a sample is as insurance you get back. Stock-design sample costs are refunded against your first order. For full custom work, the steel mold runs $600–$2,000 as a one-time charge — and that too is refunded progressively as your reorder volume accumulates, which means committed brands effectively pay nothing for tooling in the long run.

From free 3D proof to physical die
The cheapest sampling round is the one that never becomes physical. Before anything is machined or poured, we build a free 3D design of every face of your die within 3 days. This digital proof is where the big decisions should be settled: the font, the size and placement of every numeral, the position of your logo (usually replacing or joining the highest face), and how a pattern wraps around edges and vertices.
Treat the 3D stage seriously and iterate hard there. Changing a numeral style in a render costs a polite email; changing it after a steel mold is cut costs real time. The buyers with the smoothest projects are consistently the ones who send annotated screenshots back on the proof — "rotate the 20 face", "thicken this stroke", "shift the logo 1mm from the edge" — until the render is exactly right, and only then release it to tooling.
Colour is the one thing a screen genuinely cannot settle, which is why numeral paint is specified by Pantone code rather than by eye: our hand-filled baked enamel numerals are Pantone-matched, so the code you approve digitally is the colour the sample arrives wearing.
The in-hand evaluation checklist
When the sample arrives, resist the urge to simply admire it. Evaluate it like an inspector — ideally in daylight, next to your brand references, with a second person to cross-check. Work through the faces one by one and handle every die in the set, not just the D20.
What to check when the sample lands
- Faces & edges: flat faces with no sink marks; sharp edges genuinely sharp, rounded edges even all the way around
- Numerals: enamel fill level with the surface, no bleed outside the engraving, correct font on every face
- Finish: plating uniform across all seven dice with no bare spots; resin clear of clouding and stray bubbles
- Colour: matches your approved Pantone reference in daylight, not just indoors
- Feel: weight and texture consistent across the set — close your eyes and roll each die in your palm
- Effects: glow pigment charges evenly; inclusions sit where the design places them
Photograph everything — every face of every die, plus the full set together. Those photos become your shared reference with the factory: if you approve, they define the standard production must hit; if you request changes, arrows drawn on a photo communicate faster than any paragraph of description.
Five sampling mistakes we see every month
Approving from video alone. A call is fine for progress updates, but plating tone, numeral crispness and heft do not survive compression. If the order matters, put the physical sample in your hand — express delivery is 3 to 7 days, and it is always worth them.
Sampling one colour, ordering five. Each colourway behaves differently: pigments shift opacity, glitter reads differently in dark resin, plating changes how engraving catches light. Sample every colourway you intend to sell, or at least the riskiest ones.
Ignoring the packaging. If your dice will retail in a box or launch on a pledge page, evaluate the presentation with the sample — the unboxing is part of the product. Trays, boxes and bags can be sampled alongside the dice themselves.
Skipping the tolerance conversation. Hand-poured resin has natural swirl variation; discuss with the factory what "acceptable variation" means before production, using your sample as the anchor, so nobody is surprised at inspection time.
Treating the sample fee as a cost. It's a refundable deposit on stock designs and the tooling refund covers custom work over time. The genuinely expensive option is the reprint you order because you skipped the sample.
Approving the sample and scaling to production
Your written sign-off turns the sample into what factories call the golden sample: the physical benchmark every production die is measured against. From that moment the process runs on rails. Mass production takes 10 to 30 days depending on material — metal 20–25, sharp edge 15–20, rounded resin 25–30, acrylic 20–25 — and before anything ships, the batch goes through a two-stage inspection — once at the workshop that made them, once again before dispatch — with a photo report, checked against the standard your golden sample established.
The sample keeps working after delivery, too. Your mold is archived along with the approved specification, so a reorder placed a year later colour-matches the original run — the discipline behind our 26% reorder rate. Third-party inspections are welcome at any point, and SGS material reports plus EN71 / ASTM toy-safety testing are available where your market requires them.
Sampled well, a dice project holds no surprises: the 3D proof settles the design, the physical sample settles the standard, and inspection holds production to both. That is the entire craft of buying dice without ever gambling on them.
Budgeting a sampling round: the real numbers
Buyers planning their first project usually ask us for a single sampling figure, but the honest answer is a small stack of numbers that depends on the route you take. For a stock-design evaluation, budget the sample cost itself — refunded against your first order — plus express courier, and expect the whole loop to finish in about two weeks: dispatch within a week, DHL, FedEx or UPS delivery in 3–7 days, then however long your own evaluation takes. For light customisation, the numbers barely move, because your colourway and laser-engraved logo ride on existing molds with no tooling fee, and production afterwards starts from a minimum of just 10 sets.
Full custom is where the calendar, more than the invoice, needs planning. The steel mold is the long pole: 20–25 days of machining before the first sample can exist, then 3–5 days for the sample itself, then courier time. Two budgeting habits separate experienced buyers from first-timers. They sample every colourway they intend to launch — an extra set in the same parcel adds almost nothing to courier cost, while a colour surprise discovered at production scale is a genuine loss. And they budget the sampling round against the size of the order it protects: thirty to eighty dollars of samples and shipping standing guard over a four-figure production run is the cheapest insurance in the entire project. The expensive sample is always the one you didn't order.
Case study: from ten-set trial to a 500-set run
A composite of several real projects shows how the stages connect. A US-based Etsy seller came to YSDICE with a colour palette, a shop name and no manufacturing experience. She chose the light-customisation route: a proven sharp-edge mold, her two brand colours, her logo laser-engraved on the highest face of the D20. The free 3D proof arrived within 3 days, and her second round of annotations caught something a render is perfect for catching — her chosen numeral font read beautifully at 4 and 20 but smudged visually at 6 and 9 once the underline was added. One email fixed it before anything physical existed.
Her sample set shipped the following week: both colourways, plus a stock hexagon tray so she could evaluate presentation. The fourth, inside a year, was 500 sets — poured against the same archived recipe and checked against the same golden sample, so a customer comparing a die from her first batch with one from her fourth cannot tell them apart. The instructive part is what never happened: no misprinted logo discovered at volume, no font regret after tooling, no colour drift between runs. Every one of those failures was structurally impossible by the time volume existed, because each had been given its cheap chance to fail early — on a render, then on a sample — and took it or passed.
Sample questions we answer every week
Can I combine materials in one sample parcel? Yes, and you should. Metal, sharp-edge resin, acrylic and gemstone samples travel happily in the same box, and comparing materials side by side in your own light answers the material question faster than any specification sheet. One courier charge, one customs entry, one afternoon of evaluation.
Do samples come with packaging? If you want them to. Boxes, bags and trays can be sampled alongside the dice, and for retail-bound brands we recommend it — the unboxing is part of the product, and a magnetic box's hinge feel or a bag's drawstring pull are exactly the kind of thing that only reveals itself in hand.
Can I skip sampling on a reorder? Usually, yes. Your mold is archived under your name, your enamel recipes are stored as Pantone codes, and new pours are matched against retained reference dice from the previous batch — the discipline behind a 26% reorder rate. If a year has passed or you are changing anything, a quick confirmation sample is cheap reassurance; if nothing changes, production can start from the archive.
What if the sample is wrong? Then it did its job. Changes at the 3D stage are free and take days; changes to a physical sample on existing tooling re-run in 3–5 days; only a geometry change on a custom mold costs real machining time. In every case the error is caught at sample scale, which is the entire reason the stage exists.
Who am I actually sampling from? A fair question in an industry full of trading companies.
